Spring 2026 β€” NOW

Space is selected. Start evaluating your current exhibit β€” does it still serve your goals? Begin conversations with your exhibit partner. Define your show objectives and lock in a budget range. This is where the best exhibitors separate themselves.

Summer–Fall 2026 β€” Design Phase

Lock in your booth concept, layout, and design direction. Finalize custom elements, interactive features, and AV requirements. Approve renderings. This is the longest lead-time phase in the process β€” compressing it leads to rush fees and compromised design.

Winter 2026–27 β€” Build Phase

Fabrication, graphic production, and pre-show quality checks. Coordinate show services with Freeman (electrical, rigging, drayage). Confirm shipping logistics and I&D labor. The booth design approval deadline for exhibits 400 sq ft and above is March 5, 2027.

February–April 2027 β€” Pre-Show Prep

Staff training, lead capture setup, pre-show email campaigns, meeting scheduling, and travel arrangements. Run through your on-site game plan. Attendee registration opens September 2026 β€” your pre-show outreach should be timed around that.

May 3–7, 2027 β€” Show Week
